Medical Office Receptionist & Biller
We are looking for a reliable and detail-oriented Medical Office Receptionist & Biller to support a busy therapy practice Clinic. This role is central to managing front desk operations, ensuring smooth patient intake, and supporting daily administrative workflows.
You will be responsible for handling incoming calls and messages, scheduling appointments, verifying insurance, and assisting with light billing tasks. The ideal candidate is comfortable speaking with patients over the phone, highly organized, and able to follow structured processes using an existing CRM system.
Key Responsibilities:
Answer incoming calls, texts, and messages from new and existing patients
Manage patient intake, including collecting demographic and required information
Schedule, reschedule, and confirm appointments across multiple clinicians
Conduct insurance verification and ensure accurate patient records
Send intake forms, appointment details, and follow-up communications via SMS/email
Process payments and assist with light billing tasks
Track and follow up with leads and pending patient inquiries
Maintain accurate records within the CRM system (GHL-based / Therapy Flow)
Coordinate with clinicians to ensure schedules and patient needs are aligned
Ensure a smooth and professional front desk experience for all patients
Previous experience as a Medical Receptionist, Patient Coordinator, or similar role
Strong English communication skills, especially over the phone
Clear, neutral accent and confidence handling patient calls
Experience with scheduling, patient intake, and administrative workflows
Familiarity with CRM systems (experience with GoHighLevel or similar is a plus)
Experience with insurance verification and/or medical billing support is preferred
Highly organized with strong attention to detail
Ability to follow SOPs and work independently with minimal supervision
Comfortable working in a fast-paced, patient-facing environment
