Events Manager
About the Role
We’re seeking an Events Manager to serve as a critical execution partner in building UP.Labs’ brand, relationships, and pipeline through high-quality, high-touch events. This is a hands-on role focused on bringing events to life across sales, marketing, and community.
As Events Manager, you will own event execution end-to-end, from initial brief through onsite delivery, across executive dinners, industry conferences, and curated experiences at our Hangar. You’ll work from a defined strategy and program, translating it into seamless, premium experiences for Fortune 500 executives, founders, and operators.
This is an execution-first role for someone who thrives in fast-moving environments, operates independently, and takes pride in delivering exceptional experiences without requiring heavy oversight.
Note: This is a contract role with the potential to convert to a full time role in the future.
Key Responsibilities
Event Execution & Operations
- Own end-to-end execution of UP.Labs events, including executive dinners, salons, and hosted experiences.
- Translate event briefs into detailed plans and flawlessly execute logistics (venue, catering, A/V, staffing, run-of-show).
- Coordinate event promotion, guest-list approval, and attendee communication.
- Lead onsite execution to ensure a seamless, high-quality experience for all attendees.
- Coordinate production elements including photography, videography, and post-event needs.
- Collaborate with the social media team to produce event recaps and sales staff to coordinate follow-ups for customer acquisition.
Vendor & Logistics Management
- Source, vet, and manage venues, vendors, and event partners.
- Negotiate contracts and pricing to ensure cost efficiency and quality.
- Manage timelines, budgets, and logistics across multiple concurrent events.
- Operate independently to solve problems and ensure delivery without escalation.
Conferences & External Events
- Support UP.Labs’ presence at key industry conferences and trade shows.
- Plan and execute adjacent activations (e.g., private dinners, curated gatherings).
- Ensure a polished, premium experience aligned with executive audiences and brand standards.
UP.Labs Space & Community
- Support programming and execution of events at the UP.Labs Hangar.
- Help operationalize and scale use of the space for both internal and external events.
- Contribute to community-building efforts, including founder and operator events.
- Assist in identifying opportunities to monetize and maximize utilization of the space.
Cross-Functional Collaboration
- Partner with leadership on event objectives, audience, and programming.
- Coordinate with internal teams to support guest lists, outreach, and staffing.
- Ensure alignment between events and broader sales, marketing, and recruiting efforts.
- Act as a reliable execution partner, allowing leadership to focus on relationships and outcomes.
You Should Have
- 5 - 10+ years of experience in event management, hospitality, or experiential marketing.
- Experience executing high-touch events for executives, investors, or enterprise audiences.
- Strong operational skills with the ability to manage multiple events and priorities simultaneously.
- Ability to work independently from a brief and execute without constant direction.
- Experience sourcing venues, negotiating vendors, and managing budgets.
- Strong judgment and taste - understanding what makes an event feel premium vs. average.
- Professional presence and ability to interface with senior stakeholders when needed.
- Entrepreneurial mindset - comfortable operating in ambiguity and building processes where needed.
Bonus Points
- Established network of Fortune 500 executives with existing relationships or a track record of engaging senior leaders through curated events.
- Strong network of high-quality venues and vendors, with the ability to unlock premium experiences, preferred pricing, and access on short timelines.
