We are seeking a highly dependable and proactive Executive Assistant to provide strategic, administrative, and operational support to senior leadership. This role is critical in ensuring seamless day-to-day functioning by managing schedules, priorities, communication, and execution across multiple initiatives. The ideal candidate will act as a central coordination point, enabling efficient time management, decision-making, and workflow continuity. This position requires exceptional organizational skills, attention to detail, and the ability to handle sensitive information with discretion. It is best suited for someone who thrives in a fast-paced, high-responsibility environment and can anticipate needs, adapt quickly, and ensure smooth execution of both professional and operational priorities.

Key Responsibilities

Calendar & Priority Management

  • Manage and optimize daily schedules, ensuring effective time utilization
  • Prioritize meetings, calls, and tasks based on urgency and importance
  • Act as a gatekeeper to streamline requests and avoid scheduling conflicts
  • Adjust plans dynamically to accommodate changing priorities

Travel, Meetings & Coordination

  • Plan and coordinate travel arrangements, itineraries, and logistics
  • Schedule meetings and prepare agendas, notes, and briefing materials
  • Track action items, follow-ups, and key discussion points
  • Handle last-minute changes and urgent scheduling needs

Strategic & Execution Support

  • Track key initiatives and ensure timely execution across teams
  • Maintain trackers, dashboards, and status reports
  • Follow up with cross-functional teams to ensure deliverables are met
  • Support planning, reviews, and decision-making processes

Cross-Functional & Operational Support

  • Coordinate across departments to ensure alignment and smooth operations
  • Assist with internal processes, vendor coordination, and basic administrative tasks
  • Support leadership meetings, internal reviews, and organizational activities

Communication & Information Management

  • Act as a liaison between leadership and internal/external stakeholders
  • Prepare reports, summaries, presentations, and documentation
  • Maintain organized records of key information, discussions, and decisions

Events & Executive Support

  • Assist in planning and executing meetings, events, and leadership sessions
  • Manage logistics for internal and external engagements
  • Provide additional support to ensure continuity and efficiency in daily operations

Confidential & High-Trust Support

  • Handle sensitive information with strict confidentiality
  • Support urgent and high-priority matters with reliability and responsiveness
  • Maintain professionalism and adaptability in a dynamic work environment

What Makes You a Great Fit

  • 5+ years of experience as an Executive Assistant, Senior EA, or in Founder’s Office roles
  • Experience supporting senior leadership such as Founder, CEO, or CXO-level executives
  • Strong calendar management and prioritization skills
  • Excellent written and verbal communication abilities
  • High level of organization, multitasking, and attention to detail
  • Proven ability to handle confidential information with professionalism
  • Proficiency in Google Workspace, Microsoft Office, and scheduling tools
  • Experience using tools like Notion, Jira, Asana, or Trello (preferred)
  • Ability to work effectively in fast-paced, high-pressure environments
  • Strong ownership mindset with a proactive and solution-oriented approach
  • Calm, dependable, and adaptable with strong interpersonal presence
