Job Description

Position Title: Procurement Officer
Department: Procurement / Purchasing
Reports To: Procurement Manager / Operations Manager
Location: Operations Facility

Job Purpose

The Procurement Officer is responsible for sourcing, purchasing, and managing the supply of goods and services required for company operations. The role ensures that all purchases are made in a timely, cost-effective manner while maintaining the required quality standards and compliance with company procurement policies.

Key Duties and Responsibilities

  • Source and procure goods, materials, and services required for company operations.

  • Obtain quotations from suppliers and evaluate pricing, quality, and delivery timelines.

  • Prepare and issue purchase orders in accordance with company procurement policies.

  • Maintain effective relationships with suppliers and negotiate favorable pricing and terms.

  • Monitor stock levels and coordinate with relevant departments to ensure adequate inventory.

  • Track and follow up on orders to ensure timely delivery of goods and services.

  • Verify purchase orders, invoices, and delivery notes for accuracy before processing payments.

  • Maintain accurate procurement records, supplier databases, and purchasing documentation.

  • Assist in supplier evaluation and performance monitoring.

  • Ensure all procurement activities comply with company policies, financial controls, and audit requirements.

  • Perform any other related duties assigned by management.

Qualifications and Experience

  • Diploma or Bachelor’s Degree in Procurement, Supply Chain Management, Business Administration, or a related field.

  • Minimum 2–3 years’ experience in procurement, purchasing, or supply chain operations.

  • Experience in food service, catering, hospitality, or manufacturing would be an asset.

Skills and Competencies

  • Strong negotiation and supplier management skills.

  • Good analytical and cost management abilities.

  • Knowledge of procurement procedures and inventory management.

  • Proficiency in Microsoft Office and purchasing systems.

  • Good organizational and communication skills.

  • High level of integrity and attention to detail.

Working Conditions

  • Office-based role with regular interaction with suppliers and operational departments.

  • May require occasional site visits or supplier meetings.
