About the Role: A Virtual Front Desk Assistant to manage and represent the company’s coworking space through the Zoom platform.

This role is the virtual equivalent of an on-site receptionist — responsible for greeting guests, managing Zoom meetings, and ensuring every visitor experiences a professional and welcoming interaction.

The ideal candidate is Filipino-based, with a clear, neutral or American accent and a polished, approachable on-camera presence.

They should embody warmth, professionalism, and confidence while communicating with clients and guests online. This position is perfect for someone who enjoys connecting with people, managing virtual interactions, and maintaining a seamless digital experience for a modern coworking environment.

Key Responsibilities:

Virtual Reception via Zoom

• Serve as the company’s virtual front desk host on Zoom, greeting visitors as they enter the waiting room.

• Admit participants, answer inquiries, and direct guests to the correct team or department.

• Maintain a professional and friendly demeanor throughout all video interactions.

Guest Coordination & Scheduling

• Oversee daily Zoom schedules and manage virtual meeting room access.

• Coordinate with internal teams to ensure meetings run smoothly and on time.

• Monitor waiting rooms and ensure prompt responses to guest arrivals.

Client Communication

• Provide clear, courteous responses to inquiries through video, chat, and email.

• Offer assistance and guidance about the company’s services, events, and memberships.

• Escalate issues or technical concerns to the appropriate team members when necessary.

Administrative Support

• Keep digital visitor logs and track attendance in Zoom sessions.

• Assist in organizing virtual events, orientations, or meetings hosted by the company.

• Support the operations team in maintaining a consistent and professional online presence.

Professional Presentation

• Maintain a camera-ready, professional appearance suitable for client-facing roles.

• Represent the company’s values of hospitality, efficiency, and community in every interaction.

Qualifications & Ideal Traits:

• Proven experience in customer service, front desk, or virtual receptionist roles.

• Strong communication skills with excellent English proficiency and a clear, neutral or American accent.

• Comfortable and confident speaking on camera during Zoom sessions.

• Tech-savvy and familiar with tools such as Zoom, Google Workspace, and CRM systems.

• Organized, reliable, and detail-oriented with strong time management skills.

• Friendly, approachable, and proactive in handling guest needs. • Based in the Philippines and able to work U.S.-aligned business hours.
