Front end Administrative
We are seeking a highly organized and articulate Front End Administrative Assistant to be the first point of contact for our tenants, clients, and vendors. This role is critical to the efficient daily operations of our property management office. You will be responsible for managing communications, scheduling, document handling, and tenant coordination, while ensuring a high standard of customer service and professionalism.
Key Responsibilities:
Answer and forward incoming phone calls and emails professionally
Screen and triage calls and messages; relay critical information accurately
Return missed calls and respond to voicemails promptly
Monitor and assign incoming email inquiries
Schedule meetings, send invites, and coordinate calendars
Upload and manage documents in the internal system
Assist in pre-qualifying prospective tenants and leads
Coordinate and schedule property showings
Submit daily and weekly operational reports to management
Conduct follow-ups and handle ad hoc administrative tasks as needed
Required Skills and Qualifications:
Strong written and verbal communication skills
Excellent organizational and time-management abilities
Detail-oriented with strong analytical and documentation skills
Proficient in using email, scheduling tools, and office software (Google Workspace, Microsoft Office, etc.)
Familiarity with property management software (e.g., AppFolio, Buildium, Yardi) is a plus
Comfortable handling confidential information with discretion
Ability to multitask and remain calm under pressure
Professional demeanor and strong customer service orientation
Preferred Qualifications:
At least 1 year of experience in an administrative, front desk, or customer service role
Experience in property management, real estate, or leasing is an advantage
College degree or relevant coursework in business, communications, or real estate is preferred
Bilingual skills are a plus

Monday to Friday, 8am - 4am EST
Compensation: up to $10
